Video Guide – How to Publish a Job

Introduction

Before we see the steps to publish a job, lets introduce you to the first page and all the elements on it.

  1. Select ‘Publish Job’
  2. There are 6 steps involved in publishing a job, here are the tabs for each of the steps, you can move back and forward by clicking on these tabs
  3. Here you will find the last 30 jobs you have published, you can click on these jobs to use them as a template
  4. If you select the pin icon, this job will get pinned as your favorite for future use
  5. Here, you will find the list of of your pinned favorite jobs to use as a template, if you no longer use this job, you can click on the pin icon to remove it from the list

How to Publish a Job

  1. Select ‘Publish Job’
  2. Select the role you are publishing the job for from the dropdown options
  3. Click ‘Create a new Notice’

  1. Select the date of your job
    1a. Choose this option if you wish to publish the job for a range of dates
  2. Select the shift – schools should have standard shifts step up
    2a. Choose this option if you wish to enter a specific time
  3. Hours to be paid will automatically appear here as per your shift setup, however if you wish to change this you can do so by entering a new value
  4. Enter the number of relievers you need
  5. Switch this toggle to ‘Yes’ if you do not need to find a reliever, in other words you are simply posting a staff absence for record keeping – otherwise keep this toggle as ‘No’
  6. Enter a name for the job – we recommend including year level and room number
  7. Enter any notes, all relievers who receive this notification can view these notes
  8. Select ‘Next’ to proceed

Replacement/Custom Details

  1. If you do not wish to record details of the staff who is absent, switch this toggle to ‘No’
  2. Enter the name of your absent staff member here
  3. Select the reason for their absence from the drop-down list here
  4. If you would like to fill in the funding source, select it from the drop-down list here
  5. Click ‘Next’to proceed

Choose Relievers

  1. Switch the toggle ‘Yes’ if you wish to view individual relievers or groups
  2. Any relievers grayed out are unavailable for the date of the job and cannot be added
  3. To add a reliever to the list to notify, click the green ‘+’ button
  4. Here you will find groups you have created. To add a group to notify, click the green ‘+’ button

  5. This group with your school logo next to it has all the relievers on your preferred list. To add this group to notify, click the green ‘+’ button
  6. This group with the StaffSync logo is all the relievers near your school who have indicated they are happy to be contacted by nearby schools. To add this group to notify, click the green ‘+’ button
  7. If you wish to add a time delay for notifications, enter the number of minutes here and click the ‘+’ button.
  8. Here is the display of the chosen relievers – in this example the job will be sent to Supriya Kumar, then after a 10 minute time delay the job will be sent to all the relievers in your Great Reliever group
  9. If you wish to remove any of your selections, click on the ‘x’ button
  10. Click ‘Next’ to proceed

Successful Reliever Notification

The following section is optional. It allows you to provide the successful reliever with any extra information they may need for the job.

This section will be prepopulated with default answers, which you can change if you wish to when publishing a job.

  2. Click ‘Next’ to proceed

  1. Select any email addresses here that you would like to be notified when the job is assigned
  2. Here you have two options
    • First option allows the job to be assigned automatically to the first reliever that applies
    • Second option (default) allows you to select from all relievers that apply for the job
  3. When you are ready, click ‘I’m done! Post this job for me’ to publish the job
    3a. If you are not ready to publish the job, click ‘Park this job without publishing’

    Your job will now be posted to your relievers, and you can use one of the three options to leave this screen.
