How to Create and Set Up a GP-Locum

A GP-Locum is set up in StaffSync so that the Practice Manager:

  • Can add the GP-Locum to the Roster
  • Can publish casual jobs to the GP-Locum
  • Can view their hours worked on the schedule to provide necessary information when paying invoices

(The Practice Manager does not need to approve the timesheet to be sent to payroll)

A GP-Locum is set up in StaffSync so that the GP – Locum:

  • Can access StaffSync via the App or Browser to view their schedule and apply for additional casual jobs
  • Can clock in and out of their shifts if the clinic requires them to

Please follow the following steps to setup a GP-Locum for your clinic

  1. Select Staff
  2. Click on the text ‘Add New Staff and Casuals’
  3. Enter the email address of the employee you wish to add – this is to ensure they don’t already have an account with StaffSync
  4. Select the Search Icon
  5. If there is no search results – then Click – Register New Casual

    A. If there is a search result then click on the persons profile
    B. Click on ‘Add to my preferred list

  1. Enter the Employee’s Name
  2. Enter the Last Name
  3. Enter the Phone Number
  4. Enter the Email Address
  5. OPTIONAL – If they have an alternative email address they wish to use to log in, you can enter it here
  6. Enter their Address. When you start typing the employee’s address select from the options that will drop down – if unknown, you can just type in the suburb or city
  7. Select the Role – GP-Locum
  8. Select Register Details

    This should now open the Employee Profile

  1. Select General Details
  2. Unselect the other departments so that only the Departments GP is highlighted
  3. If not already selected, Select the Role – GP-Locum
  4. IMPORTANT: Switch the ‘Manually Maintained Staff’ toggle to YES. If you do not do this, then when the iPayroll Sync occurs, this employee will be made inactive.
  5. Select ‘Clinic Manager‘ as the role this person reports to
  6. Click Save/Update Details

  1. Select Payroll Details
  2. IMPORTANT – Switch the Toggle – Is this person’s timesheet to be included in payroll?’ to NO
  3. Click Save/Update Details

  1. Select Rostering Detail
  2. Do you want to roster this person for work?
    Switch this toggle to YES – you will be able to add them to the roster
  3. Do you want this person to work additional hours outside their rostered hours?
    Switch this toggle to YES – this person will receive job notifications for additional shifts. They will need to have the StaffSync App or access StaffSync via the web browser to apply for these additional jobs.
  4. Select Save/Update Details
